Board Members Description of Duties
DUTIES OF THE PRESIDENT.
A) Responsible for the overall administrative and executive functions of the Club.
B) Appoint committees to carry out these functions.
C) Assign duties to all officers as required.
D) Take prudent and reasonable action in cases not covered in the Constitution and By-Laws.
E) Appoint an auditing committee to certify the Treasurer’s Annual Report.
F) May co-sign Club checks.
G) Call the bi-annual General Meeting of the Club in May and January.
H) Conduct the election of officers in the May General Meeting.
I) Call emergency committee meetings as deemed necessary.
J) Call additional General Meetings as necessary upon written request of at least three (3) members of the Board.
K) Conduct Regular Meetings of the Board each month and has the authority to call additional Board meetings as deemed necessary.
L) Provide one (1) week written notice to the members of a General Meeting that requires resolution of amendments to the Constitution or By-Laws.
M) Represent CNP at all FCSA meetings or designate a party to attend the meetings if unable to attend. The designee should be
selected from the Board of Directors or appointed officer of the club respectively.
N) Chairperson of the Disciplinary Committee, unless he/she is involved in the proceedings. In such a case, the Second Vice president shall be the Chairperson and appoint the two (2) members of the committee.
O) Shall have the authority to appoint the following positions:
1. Director of Coaching/Player Development – Liaison with other coaches to handle coaching situations and education.
2. Fields and Equipment Director – Purchases and acquire supplies
3. Public Relations Director – Supply Club information on registration, newsletter and other publications.
4. Head Referee – Liaison with the referees and coaches.
5. Referee Assignor – Schedule referees in cooperation with the First Vice President.
6. Scorekeeper – Receive and record scores of all games played in CNP. Present a final accounting of team standings to the Board of Directors or Trophy Committee at the end of each season. Chair the Trophy Committee.
7. Scholarship Committee – Select scholarship recipients if funds are available. This shall be a three (3) member committee and shall be chaired by the First Vice President.
8. Trophy Committee – Purchase and acquire trophies and awards for registrants as approved by the Board of Directors.
9. Disciplinary Committee – Decide disciplinary actions to be taken on matter posed to the Committee. This shall be a four (4) member committee and shall be Chaired by the President unless the President is involved in the matter. In this case, the Second Vice President will be the Chair. The Coaching Director, Head Referee will comprise two (2) of the member with the other two (2) appointed by the Chair.
P) Supply the club with information concerning newsletters and/or other publication if the Club does not have Public Relations Director
DUTIES OF THE FIRST VICE PRESIDENT
A) Assume all powers and responsibilities of the President in their absence.
B) May co-sign Club checks.
C) Attend all emergency committee meetings.
D) Referee Assignor/Scheduler.
E) Chairperson of the Protest and Appeals Committee, unless he/she is involved in the protest.
DUTIES OF THE SECOND VICE PRESIDENT
A) Chairperson of the Fundraising Committee
B) Chairperson of Donations/Sponsorship Committee
C) Chairperson of Scholarship Committee
D) Assume all powers and responsibilities of the President and any Vice President in their absence.
E) May co-sign Club checks
F) Attend all emergency committee meetings
G) Sit on Protest and Appeals Committee, unless he/she is involved in the protest.
H) Reserve Chair of the Disciplinary Committee.
DUTIES OF THE REGISTRAR/SECRETARY
A) Registrar. Responsible for processing registration forms, maintaining registration records, forming teams, including recruiting coaches for the teams, producing team rosters and compiling and submitting registration packets to FCSA in a timely manner.
B) Assume all powers and responsibilities of the President and any Vice President in their absence.
C) Supply Club with information concerning registration.
D) Sit on Protest and Appeals Committee, unless he/she is involved in the protest.
E) Assumes as coordinator scheduler for any/all ages if there is not coordinator available
F) Record all minutes of all meetings
G) Attend to all correspondence and collect all mail. Distribute said mail to responsible parties
H) Keep all current and permanent records other than records necessary for the Treasurer to perform his/her duties
I) Keep a current list of all Club teams
J) Attend all emergency committee meetings
K) Send notice of meetings. Written notice shall be provided to the members of General Meetings at least one (1) week prior.
L) Make necessary arrangements for meetings as required by the Board of Directors.
M) Assist in supplying the club with information concerning newsletters and/or other publication if the Club does not have Public Relations Director.
DUTIES OF THE TREASURER
A) Collect all money for the Club and deposit in the club account.
B) Keep a detailed account of income and expenses.
C) Sign or Co-Sign all Club checks.
D) Pay all bills approved by the Board in a timely manner.
E) Submit all financial information required by FCSA in a written report. Reports being submitted to FCSA must first be provided to the Board of Directors and approved for release.
F) Submit a written report of finances at all General Meetings and Regular Meetings.
G) Make prior approval of all Club expenditures. The approval is only to assure the Club has adequate funds for the expenditures. The Board of Directors makes the actual approval of the expenditure.
H) Sit on Protest and Appeals Committee, unless he/she is involved in the protest.
I) Prepare appropriate tax documents.
J) Prepare a budget for the Boards to be presented at the General Meeting for planning purposes.
K) Assist in supplying the club with information concerning newsletters and/or other publication if the Club does not have Public Relations Director
